Privacy Policy

ChalkForge LLC ("ChalkForge," "we," "us") operates Senexus, a board resource platform for school districts and public sector organizations, available at senexus.app. When we say "Senexus" we mean the service. When we say "you" we mean the organization or individual using Senexus.

Information you provide directly:

• Organization name, district name, and configuration settings
• User accounts: name, email address, and role within your organization
• Meeting content: agenda items, minutes, board policies, and uploaded documents
• Member attendance and voting records
• Notes entered during live meeting sessions

Information collected automatically:

• Login timestamps and session activity (via Clerk, our authentication provider)
• Error logs and application performance data

We do not collect payment card numbers or billing details directly — payments are handled by a third-party processor.

We use the information we collect to:

• Operate and deliver Senexus to your organization
• Display meeting agendas, minutes, and documents to authorized users and, where you choose, to the public
• Send notifications related to meetings, agenda items, and assigned tasks
• Analyze aggregated, de-identified trends across policy language and board practices to improve our product — no organization is individually identifiable in this analysis
• Respond to support requests

We do not sell your data. We do not use your data to serve you advertisements.

Running Senexus requires sharing certain data with these service providers:

Each of these providers is contractually bound to process your data only for the purposes described above.

Your organization controls what is public. Meeting agendas and documents you mark as public are accessible without login at your district's public URL. Closed session items are never exposed publicly. Do not mark content as public if it contains sensitive personal information.

We retain your organization's data for as long as your account is active. If you cancel your account, we will delete your data within 90 days, except where retention is required by law (for example, public records obligations that may apply to your district independently of this platform).

We use industry-standard measures to protect your data: encrypted connections (HTTPS/TLS), database encryption at rest (Neon), and role-based access controls. No system is perfectly secure, but we take reasonable precautions appropriate for a public sector platform.

You may request access to, correction of, or deletion of your personal data by contacting us at privacy@senexus.app. Organizations may export their meeting and policy data at any time from within the platform.

Senexus is designed for use by adults in professional organizational settings. We do not knowingly collect personal information from anyone under 13.

We will notify account administrators of material changes to this policy at least 14 days before they take effect. Continued use of the platform after that date constitutes acceptance.
